EDITING RESOURCES Play Video

Resources are the fundamental building blocks of your library and the pricing process.

Select the Resources tab from the Library form to load the resource viewer/editor. A table will be loaded containing a set of similar resources, held by Category.

Click on the tree selector to load the resources you want to view or edit. The table is populated with the resources belonging to the selected category. Note that you can add new branches at any time (You cannot add more Resource Types but you can rename some of them for your own use).

Before we look at the table functions, let's take a closer look at the data table and how data can be added, changed and deleted

 

Column 1 - The resource row number. You can change the position of any item in the table using the Cut / Paste functions (By block if required).

Column 2 - Resource Description. Existing resource descriptions can be edited by double clicking the description text to enter edit mode.

Column 3 - Unit. This is the Unit of Supply and may be edited.

Column 4 - Supply Qty. The quantity this product is normally supplied in e.g. 1000 for bricks, 100m for some timber, 1 for sheets.

Column 5 - Supply Cost. The cost as supplied to you (before any discount) for this resource

Column 6 - Discount%. Enter any discount agreed with your supplier

Column 7 - Adjust%. A percentage adjustment for reason other than Discount (surcharge?)

Column 8 - Total Cost. Calculated value based on the previous columns values

Column 9 - Unit Cost. Total Cost divided by Supply Qty

Column 10 - Cost Amended. The date this resource Unit Cost was last updated

Column 11 - Default Waste%. Use if you have a standard waste for this resource

Column 12 - Supplier Name. You can assign a preferred supplier (optional). Required for Order Processing

Column 13 - A Cost Code may be useful for later anyalysis in Excel or other application

 
Program Functions for Resources

If you hover your mouse cursor over the secondary buttons you will display a short text hint that should explain what each button does.

TIP: A quicker way of accessing all the functions available on the current table is to use the right-click on your mouse anywhere on the table.

The quickest way to add a new resource to the current table is to simply type it in the Description column of the spare row at the end of the table. If you want to insert a resource in the table, select the row where it is to be inserted and click the New button (or select from right-click menu or press the Insert key on your keyboard).

Set Resource Supplier

Use this function to assign a supplier for this resource. Required for ordering.

Search for Text

There may be times when you know that a resource exists but are unsure where its located. more

Trace

Tracing where a resource has been used (library items and Projects) can be useful when you want to delete a resource but the resource is being referenced. Using the Trace results table you can remove it (or replace it) in the item buildups before deleting from the resource library. more

Percent

This is a time-saving function. You can apply discount%, waste% etc. directly for the individual resource, but this can be time-consuming if you have many to do. The percentage functions allow you to apply the %age values to all the selected resources.

Replace Resource

You can replace the occurrences of this resource with another in your library. This is a real time saver when you want to change the product you normally supply. The target resource selected automatically replaces the existing one throughout your entire item library. more

TIPS:

  1. Many functions can be applied to more than one resource, either a selected block or the entire Category
  2. The Supply Qty should be the minimum amount that can usually be ordered. This allows for sensible rounding in the Ordering process
